A trial is an offer of time, not a recommendation

Free trials exist because software is hard to judge from the outside. They are useful, and they are also a sales instrument: designed to show the product at its most helpful, on empty data, with the onboarding turned up. Used deliberately, a fortnight answers more than a month spent browsing.

Method

How to spend a trial

Pick one piece of real work and reproduce it end to end. Not a demonstration of the software, a repetition of your own process: the enquiry that arrives, the record it becomes, the message that goes out, the thing that has to happen next week. If that journey works with your own data, you have learnt something. If it does not, you have learnt something more valuable.

During the trial

The purpose of a trial is not to see the software. It is to reproduce one real piece of your work inside it and watch where it snags.

  • Reproduce a complete workflow end to end, with your own records.
  • Let one colleague use it unaided and note where they stop.
  • Test the awkward records: duplicates, missing fields, odd characters.
  • Configure the integration you cannot live without, not the easy one.
  • Run an export and open the file.
  • Check what the reporting actually counts, and whether you can reproduce a number by hand.

Two failures are worth planning against. The first is building an elaborate configuration in week one, which guarantees you are testing your own setup rather than the product. The second is testing alone, which tells you nothing about whether the rest of the team will use it.

Length

What trial length actually means

Numbers vary by supplier, by route and by promotion, and they change without notice. Two things are worth separating: what is advertised publicly, and what a particular link opens.

That sentence is the one most worth reading twice. A trial ends whether it was used or not, billing starts unless the account is cancelled, and usage charges can apply during the trial itself. Put the end date in a calendar you actually read, not in the software you are evaluating.

  • What exactly is included at this tier, in writing?
  • What becomes chargeable later: seats, usage, storage, integrations?
  • What happens on cancellation, and how long is the data kept?
  • What will implementation cost in hours, and whose hours?
  • What changes if the price rises at renewal?
  • Which of your must-haves depends on a feature still described as coming soon?

These belong at the end of a trial, not the beginning, because the answers only matter once the product has survived the earlier tests. Ask them in writing, and treat a clear answer as part of what you are buying.
