Two things follow. The price is per account rather than per user at these tiers, which changes the arithmetic for a growing team compared with a per-seat product. And the absence of a long-term contract is a genuine feature when evaluating: it lowers the cost of being wrong, which is the main risk in a software purchase.

Telephony and text messaging are the usual usage charges in this category of product, and they are the line most often forgotten when people compare monthly costs. Before committing, estimate a normal month of messages and a busy one; a platform that looks cheaper on the plan price can lose that advantage on usage if messaging is central to the work.

The other costs that sit outside any subscription are your own hours: configuration, data cleaning, migration and training. They are real, they are rarely budgeted, and they are the reason a cheaper product with a heavier setup can end up costing more in the first year.

Method

How to compare prices between products

Compare models, not headline figures. A per-seat price of twenty and a flat price of two hundred are the same money at ten users and very different at three or at thirty. Work out the total at the size you expect to be in eighteen months, including usage, add-ons and anything you would keep running alongside.

Then compare the cost of being wrong. Monthly billing, an easy cancellation and a complete export make a mistake cheap. An annual commitment with a partial export makes the same mistake expensive, and that difference rarely appears on a pricing page.
